Complete guide to setting up and using MS Teams Direct+

Getting Started

1. Install from monday.com Marketplace
- Go to the monday.com Marketplace and search for "MS Teams Direct+"
- Click "Install" and select your workspace
- Review the permissions and click "Authorize"
2. Connect Your Accounts
Open the MS Teams Direct+ administration page: click your profile icon (top-right) → Administration → Admin Apps → MSTeamsDirect User Mapping. You can also get there by clicking "Use app" on the app's Marketplace listing.
You'll see a two-step connection wizard:
- Connect monday.com — Click "Connect" on the monday.com card. A popup will open to authorize the connection.
- Connect Microsoft Teams — After monday.com is connected, click "Connect" on the Microsoft Teams card. Sign in with your Microsoft account and grant permissions.
Once both accounts are connected, MS Teams Direct+ automatically syncs your user directories in the background. The connection wizard disappears and the User Mapping table becomes visible.
Permissions tip: The first installation should be performed by a Microsoft tenant admin who can grant organization-wide consent, so teammates can use the integration without additional approvals.
Note: You need admin permissions in both monday.com and Microsoft Teams to complete the setup.
User Mapping
User mapping connects monday.com users to Microsoft Teams users. MS Teams Direct+ uses these mappings to determine where to send notifications.
Automatic Email Matching
MS Teams Direct+ automatically matches users when their email addresses are identical in monday.com and Teams. This happens in the background and requires no action from you.
Manual Mapping
For users with different email addresses or when automatic matching fails:
- Go to the administration page in MS Teams Direct+
- Find the unmatched monday.com user in the mapping table
- Use the search dropdown on that row to find and select the corresponding Teams user
- The mapping is saved automatically
CSV Bulk Import
To import many user mappings at once:
- Create a CSV file with two columns:
monday_emailandteams_upn - Add one mapping per row
- Go to "User Mappings" and click "Import CSV"
- Upload your file and click "Import"

Basic Notification Workflow
- Open your monday.com board
- Click "Automate" in the top menu
- Click "Add Workflow" and choose a trigger (e.g., "When person is assigned")
- Add an action block — search for "MS Teams Direct+"
- Select either "Send message to assigned user" or "Send message to a Teams channel"
- Customize your message using placeholders
- Click "Create Workflow"
Available Placeholders
You can use these placeholders in your notification messages:
{board_name}- The name of the board{group_name}- The group the item belongs to{item_name}- The name of the item{assignee_name}- The name of the assigned person{item_url}- Direct link to the item in monday.com
Example message:
You've been assigned to {item_name} in {board_name}. Click here to view: {item_url} Sending to Channels
To send notifications to a Teams channel instead of a user:
- In your monday.com workflow, select the "Send message to a Teams channel" action block
- Choose the team and channel from the dropdowns
- Customize your message
- Save the workflow
Notification Format
MS Teams Direct+ sends notifications as formatted message cards in Microsoft Teams. Each notification includes:
- Header: Board name and group
- Title: Item name (clickable link to monday.com)
- Message: Your custom message with placeholders replaced
- Action button: "View in monday.com" direct link
Notifications appear as direct messages in Teams, so users can respond or dismiss them just like any other message.
Activity Log
The Activity Log shows a record of all notifications sent through MS Teams Direct+:
- Go to the "Activity" page in MS Teams Direct+
- View recent notifications with status (Sent, Failed, No Mapping)
- Filter by date, user, or status
- Click any entry to see full details
Activity logs are retained for 90 days.
Troubleshooting
Notification not received
Check these common issues:
- Verify the user mapping exists (User Mappings page)
- Confirm the workflow is active in monday.com
- Check the Activity Log for error messages
- Ensure the Teams user has granted permissions
- Verify the user isn't blocking bot messages in Teams
"No mapping found" error
This means MS Teams Direct+ couldn't find a Teams user for the monday.com assignee:
- Go to User Mappings
- Create a manual mapping for this user
- Or add their email to your CSV import file
- The next notification will use the new mapping
Authentication expired
If you see an authentication error:
- Go to the MS Teams Direct+ administration page
- The connection wizard will reappear for the disconnected account
- Click "Connect" and sign in again to refresh your credentials
Notifications are delayed
Slight delays can occur due to:
- monday.com automation queue processing
- Microsoft Teams API rate limits
- High volume of notifications
Typical delivery time is under 5 seconds. If delays exceed 1 minute, check the Activity Log or contact support.
Security & Permissions
Required monday.com Permissions
- Read board data (to get item details)
- Read user information (to identify assignees)
- Access automations (to receive triggers)
Required Microsoft Teams Permissions
- Send messages on your behalf
- Read user profiles to match monday.com users
You can revoke these permissions at any time through monday.com or Microsoft Teams settings.
Limits & Quotas
- User mappings: Unlimited
- Notifications per day: Based on your subscription plan
- Activity log retention: 90 days
- CSV import size: Up to 10,000 rows
- Workflow evaluations: monday.com may count workflow evaluations even when conditions fail and nothing is delivered; factor that into your quota planning.
Data & Privacy
MS Teams Direct+ stores:
- User mapping data (monday.com email ↔ Teams email)
- OAuth tokens (encrypted)
- Activity logs (90 day retention)
- Notification content (transient, not permanently stored)
